Hide Invalid Appointment Types

Abstract

By default, Capable 21C disables appointment types that should not be chosen for a particular practitioner.  However, it is possible to configure Capable 21C to hide these appointment types instead of just disabling them.  This knowledgebase article describes how to do this, and potential issues that may arise as a result.

Underlying challenge

Each type of appointment has a default duration for each practitioner.  If this duration is set to zero, Capable 21C assumes that the practitioner cannot (or does not) perform this particular type of appointment.  This functionality can be very useful in multi-modality practices to help reduce the chance of a client/patient being booked for a type of appointment/practitioner combination that is not valid.

The normal behaviour of Capable 21C is to disable (or grey out) the menu options for appointment types that are not valid for the chosen practitioner.  This can be a problem for multi-modality practices that have a very long list of available appointment types.  The menu can become prohibitively long, even though a large number of the options are greyed out.

Resolution

Turn on the Hide invalid appt types switch by following these steps:

  1. Go to Setup|Settings.
  2. Go to the Other tab.
  3. Click on the Appointments system component.
  4. Click on the Hide invalid appt types setting.
  5. Change the value to True.
  6. Click Close (no need to apply) 

Detailed Information

This feature is only available in Capable 21C v1.5.617 or later.

Note that practitioners and appointment types should be configured carefully to ensure that each practitioner has at least one valid appointment type.  If the default duration for all appointment types is set to zero for any practitioner, error messages will occur when an operator attempts to make appointments for that practitioner.
