Default Product Sales to one Practitioner

Abstract

Capable 21C v1.5.625 and later has the ability to default all product sales to a particular practitioner.  This knowledgebase article describes how to enable and configure this feature.

Underlying challenge

Under normal circumstances, all invoices start with the default service and product being assigned to the practitioner of the appointment.  Also, when other products or services are added to an invoice, they are also defaulted to the practitioner of the appointment.

By enabling and configuring this feature, Capable 21C will default all product sales to a specific practitioner regardless of whom the appointment is with.

Resolution

To enable this feature:

1. Go to Setup|Settings.
2. Go to the Other tab.
3. Click on the Receipts system component.
4. Click on the Override Product Dr setting.
5. Change the value to True.
6. If not proceeding onto the next steps, click Close (no need to Apply). 

To specify the name of the practitioner:

1. If following on from the previous steps, skip down to step 5.
2. Go to Setup|Settings.
3. Go to the Other tab.
4. Click on the Receipts system component.
5. Click on the Override Product Dr With setting.
6. Change the value to the short name of the desired practitioner.  See below for more information. 
7. Click Close (no need to Apply)

Detailed Information

Note that the name of the Override Dr can be anything.  The name does not even need to match with an existing practitioner in the office, however, if it does not match with the short name of a practitioner in the office, all products will be assigned to an 'inactive practitioner'.  When producing statistical reports, operators will need to take care to select 'inactive practitioners' to be able to locate the name of the Override Dr.

Also, note that if the Override Dr is not the name of an active practitioner, it will not appear on menus, and will not be able to be selected for altering invoices, or adding extra products via Receipt Alteration.

For these reasons, Capable Software Pty Ltd recommends the creation of a dummy practitioner to be used as the Override Dr if no other practitioner is suitable.
