Appointment Types on New Appointments

Abstract

Capable 21C uses certain logic to determine what appointment type to automatically select on new appointments made during receipting. Understanding this logic will help the office to configure Capable 21C to meet their needs more closely.

Underlying challenge

Capable 21C has a pre-defined ‘Typical Appointment’ and a pre-defined ‘Second Appointment’. Changing these values will alter Capable 21C’s automatic selection of appointment types during receipting.

Resolution

The following key items will affect Capable 21C’s selection of appointments:

  • If the appointment is the patient’s second appointment ever, Capable will attempt to set the appointment type to the ‘Second Appointment Type’ defined in Setup|Settings (see below for an explanation of Capable’s ‘attempt’).
  • If the appointment is not the patient’s second appointment, Capable will attempt to set the appointment type to the ‘Regular Appointment Type’ defined in Setup|Settings.
  • Capable will review the durations of the chosen appointment type for the practitioner that has been chosen. If the duration is non-zero, Capable will automatically create the appointment. If the duration is zero (or if the appointment type is invalid or does not exist), Capable will prompt the operator with a fly out menu of all appointment types for that practitioner with non-zero durations.

To make Capable produce the fly out menu of appointment types for every new appointment, complete these steps:

  • Go to Setup|Settings.
  • Go to the Appointments tab.
  • Click on the Regular Visit Type.
  • Press the Delete key (on the keyboard) to blank out the field.
  • Click on the Second Visit Type and blank it out as well.
  • Click Apply and then Close.

The effect of completing these steps is that Capable will attempt to make all new appointments to be of the ‘no’ type, but will realize that this is not a valid action. It will then produce the fly out menu for the operator to choose an appointment type.

Detailed Information

To set each practitioner’s duration to be zero:

  • Go to Setup|Setup Provider details.
  • Double click on any one of the practitioners.
  • Go to the Durations tab on the provider properties window.
  • Highlight the appointment type.
  • Ensure that the duration value is set to zero.
  • It is worth reviewing other durations at this point in time.
  • Close the Provider properties window.
  • Repeat steps 2-7 for each other provider.
  • Close the Provider Setup window.

To set the Regular Visit Type and Second Visit Type:

  • Go to Setup|Settings
  • Go to the Appointments tab
  • Change the Regular Visit Type to the desired type (in the example given above, press delete to completely blank out the field).
  • Change the Second Visit Type to the desired type (in the example given above, press delete to completely blank out the field).
  • Close the Settings window.
