Advanced Query Tool Labels

Abstract

The advanced query tool allows an operator to extract a list of patient/client files and then produce sticky labels for them. To do this, follow the instructions in this knowledgebase article.

Underlying challenge

To use the advanced query tool, it must first be enabled. Follow the instructions outlined below to enable the advanced query tool. Once the tool is enabled, an operator must determine what criteria they intend to use to select the patients/clients before attempting to use the tool. For example, a reasonable criteria might be ‘all active patients’, or ‘all patients who live in a particular postcode’.

Detailed Information

Turning on the Advanced Queries Tool in Capable 21C: 

  • Open Capable 21C
  • Go to Setup in the Drop Down Menu Bar
  • Go to Settings
  • Go to the other tab
  • In the left window pane titled “System Components”, Select Beta
  • Select Advanced Query Beta in the Middle Pane under Setting Name
  • In the right window pane titled “Current Setting”, Delete False out of here and type “True”.
  • Press Close
  • Shutdown the program and reopen Capable 21C to let settings take effect.
  • Using the Advanced Query Tool with Capable 21C:

  • Once Advanced Queries is turned on, Select Tools in the Drop Down Menu.
  • You should see a new option at the bottom of this Drop Down menu called “Setup Advanced Queries”
  • Click New Advanced Query
  • Double Click on this New Advanced Query
  • In the Name field type in “Newsletter List”
  • Now here we can put in a criteria of what is to be met.
  • In the first line titled “Active Patients”, in the dropdown menu put Include, and check the tickbox next to it.  This criteria will meet all active patients in the database. 
  • Note: If the dropdown was set to “Exclude”, this would produce a list of inactive patients.

  • Click on the Output Options tab.
  • Click on the labels bullet.
  • Click the button to create a new label sheet.
  • Answer the questions prompted by Microsoft Word to define the type and size of labels to be used.
  • When Microsoft Word displays the label sheets, save and close the Microsoft Word document.
  • Return to the Advanced Query Tool and press Apply
  • Press Run Now.
  • This will produce sticky label sheets for patients that meet the active criteria. From here you can perform more complex queries.
